{"id":1946,"date":"2016-10-05T16:48:40","date_gmt":"2016-10-05T05:48:40","guid":{"rendered":"https:\/\/2016.sydney.wordcamp.org\/?p=1946"},"modified":"2016-10-05T18:14:44","modified_gmt":"2016-10-05T07:14:44","slug":"wordcamp-sydney-2016-budget-costs","status":"publish","type":"post","link":"https:\/\/sydney.wordcamp.org\/2016\/wordcamp-sydney-2016-budget-costs\/","title":{"rendered":"WordCamp Sydney 2016 Budget &amp; Costs"},"content":{"rendered":"<p>To embrace the open source nature of WordCamps we&#8217;d like to share our operating budget with you so you can see the breakdown of costs, money in and money out.<\/p>\n<p>The budget spreadsheet is based on a modified Google Sheets template supplied by WordCamp Central.<\/p>\n<p>We ran the event management through Linux Australia who looked after event insurance, liability and finances (bank &amp; invoicing).<\/p>\n<p>Ticket sales were through <a href=\"https:\/\/github.com\/Automattic\/camptix\" target=\"_blank\">CampTix <\/a>and PayPal which is built into the WordCamp website template.<\/p>\n<p>We operated with a 10% across-board contingency just in case anything unexpected happened.<\/p>\n<p>The aim was to bring the budget in as close to break even as possible.\u00a0 We don&#8217;t plan to make profit on WordCamps.<\/p>\n<p>Any losses would have been absorbed by Linux Australia and any profits are distributed by Linux Australia to future open source conferences in Australia also managed by Linux Australia.<\/p>\n<p>We had additional sheets\/tabs for Vendors, Sponsors, After Party, Schedule, Volunteers, Speakers and Swag to help manage numbers, ordering, scheduling, catering etc.\u00a0 They contain some private information so we&#8217;re not sharing those.<\/p>\n<p>PDF: <a href=\"https:\/\/2016.sydney.wordcamp.org\/files\/2016\/10\/WordCamp-Sydney-2016-Budget-for-website.pdf\">WordCamp Sydney 2016 Budget<\/a><\/p>\n<p>On the budget in the top right are three cost scenarios, Low, Medium and High.<\/p>\n<p>Low cost is based on money in just from ticket sales.<br \/>\nMedium cost is with additional food, water and AV (audio &amp; visual).<br \/>\nHigh cost is with additional swag, after party and speakers dinner.<\/p>\n<p>The Low cost scenario is based on the minimum we needed to pay to bring a WordCamp to life; venue, insurance, and ticket fees.<\/p>\n<p>Medium and High cost scenarios can only be achieved with the addition of sponsorship money and that&#8217;s what makes for a great memorable conference.<\/p>\n<p>We truly could not bring an event of this scale to you without the money donated from our kind <a href=\"https:\/\/2016.sydney.wordcamp.org\/sponsors\/\">sponsors<\/a>.<\/p>\n<p>If you&#8217;re interested in organising a WordCamp in your local area and don&#8217;t know where to start, hopefully this budget will give you a starting place.<\/p>\n<p>Feel free to get in contact with us if you have any specific budget questions.<\/p>\n<p>#WCSyd Team<\/p>\n","protected":false},"excerpt":{"rendered":"<p>To embrace the open source nature of WordCamps we&#8217;d like to share our operating budget with you so you can see the breakdown of costs, money in and money out.
